In conducting a semi-annual review of
its
employee policies and procedures -- which included substantial revisions to
existing policies and creation of several new ones -- the Human Resources
department at a private urban university decided that an outside editors perspective would be beneficial.
Years of rework by multiple employees made for a situation in which there was
minimal consistency from policy to policy, or even within some of the policies.
Steve Gozdecki was engaged to improve the text ahead of an
impending executive council review.
The initial phase of the project centered on a
read-through of all copy to document inconsistencies in order to decide on how
best to standardize a number of subjective stylistic matters, as well as to
begin identifying contradictions between policies.
Phase 2 included a thorough online edit of more than 250
pages of material and recording of all contradictions and items requiring
clarification. These items were then presented to the client for their input
before undertaking a final corrective edit.
The result? A collection of policies and procedures
written under a rules-based writing system aimed at eliminating individual authors
preferences in order to provide a consistent voice to the universitys thousands
of employees.
